If you want retailers to take your brand seriously, your line sheet must be clear, professional, and buyer-ready.

A strong line sheet can open retail doors.

A weak one can get ignored instantly.

Here’s how to create a line sheet that grabs attention — and gets orders.

1. Keep the Design Clean and Easy to Scan

Buyers don’t have time to hunt for info.

Your layout must feel organized and visually simple.

Must-have sections:
  • Brand logo + contact info
  • High-quality product photos
  • Style name & style number
  • Fabric/material details
  • Wholesale price
  • Suggested retail price (MSRP)
  • Size run
  • Colorways
  • MOQ (if applicable)
  • Delivery window
  • Order terms

Tip: Use consistent spacing, alignment, and fonts. Messy layouts make buyers question professionalism.

2. Use Professional Photos (Not Lifestyle Shots)

Line sheets require:
  • Clean backgrounds
  • Straight-on product views
  • No filters
  • Lighting that shows true color

Buyers want to see the item clearly — not your brand mood. Save lifestyle content for your lookbook.

3. Include Style Numbers — Not Just Names

Style numbers make ordering efficient.

Example:
  • TS101 – Essential Cotton Tee
  • JK204 – Lightweight Nylon Jacket

Buyers place orders using these codes, not cute product names.

4. Provide Clear Wholesale + Retail Pricing

This is one of the first things buyers check.
Format matters:
  • Wholesale: $38
  • MSRP: $98

Showing both helps the buyer understand your margin structure and whether your pricing fits their store.

5. Highlight Your Best Sellers

If you already know which items sell the strongest, label them:
  • Best Seller
  • Editor Favorite
  • New Release

This guides buyers to spend more time on pieces with proven traction.

6. Include Colorways in One Block

Avoid separate pages for each color unless necessary.

Use one main photo + color swatches to show options:
  • Black
  • Sand
  • Olive
  • Navy
Buyers prefer one glance over five extra pages.

7. Add Delivery Windows They Can Trust

Buyers plan months in advance.

Use accurate timelines like:
  • Delivery Window: Jan 5–20, 2026
  • Cutoff for Orders: Nov 10, 2025

Unclear timelines make stores nervous.

8. Make Your Contact & Ordering Info Obvious

Place this on every page:
  • Email
  • Phone
  • Website
  • Sales rep contact
  • Order form link (if applicable)

A buyer should never have to search for how to order.

9. Save and Send It in the Right Format

Always send your line sheet as:
  • PDF (universally accessible, does not distort formatting)
  • Ideally <10MB for easy emailing
Do not send:
  • Google Docs
  • Canva links
  • Large image files

10. Keep It Updated Every Season

Outdated line sheets make you look disorganized.

Update:
  • Prices
  • MOQ
  • Available colors
  • Fabric changes
  • Delivery windows
  • Discontinued styles
Buyers expect accuracy.

One mistake lowers confidence in your operational ability.

A line sheet should be:
  • Simple
  • Clear
  • Accurate
  • Easy to order from
And above all — professional.

A polished line sheet communicates that you’re ready for real retail business.
